Background

As a global IT company with recipients across Sweden, Germany, France, the United States, Spain, Canada, and more, Keyfactor needed a global swag solution for events, onboarding, and engagement initiatives.

Leading this effort were Megan Caldwell, Global People Experience Specialist at Keyfactor, and Erin Woodard, VP of People Experience and Talent Development, who both oversee the entire employee experience journey, from onboarding to boosting company culture.

Before Stadium, Keyfactor used a local swag vendor that shipped globally but didn’t have fulfillment locally, which introduced a lot of moving parts that made it difficult to streamline swag. This meant that Keyfactor needed to manage inventory and experienced hefty shipping fees or returned mail due to logistical difficulties around global sending.

After encountering so many hurdles, Megan sought a better solution that was user-friendly and more streamlined. Through the power of a quick Google search, she was able to find Stadium.

    Our Solution

    As a global company recognized as a Great Place to Work™, culture and employee experience are top considerations for Keyfactor.

    To kick off recognition company-wide, Megan created a recognition program and customized the currency. Instead of the default kudos, the program currency was renamed to ‘KEYkudos,’ adding a fun, branded element. She also tied in company values by adding hashtags within the program.

    Thanks to this initiative, recognition kept flowing in all directions–managers received 2,500 KEYkudos to give quarterly, and individual contributors without direct reports received 1,250 KEYkudos to give. The most exciting part? If individual contributors received praise/were recognized, they were nominated for Key Contributor and voted on to become Employee of the Month.

    Next, Megan looked to optimize the day-to-day by automating HR processes for employee milestones. She set up automations for work and milestone anniversaries, where employees receive points to a shop on their actual employment anniversary each year. Milestone anniversaries range from 3-year to 25-year work anniversaries, where the points amount increases based on the anniversary year.

    Taking it further, Megan automated swag for onboarding, where swag kits are sent to new employees. Swag kits include bookbags, t-shirts, and water bottles. Stadium’s HRIS integrations made automation even more seamless. ”Integrating our HRIS has been a huge help–all of the addresses are already loaded there. As soon as employees are added to UKG, they get an email to redeem their new hire kit. Automating onboarding gifting has been a huge win.”

    On top of these key moments, Keyfactor used Stadium for various company initiatives throughout the year. One exciting company initiative is Keyfactor’s annual wellness challenge. Every year in May, Keyfactor hosts the May Movement Challenge, where employees are paired in teams and challenged to complete 30-150 minutes of activity a day. Employees are rewarded with a snack box or points to spend in a shop. Adding to the list, Keyfactor also hosts Second Friday, where employees have off every second Friday of the month. They’re encouraged to spend it through volunteering or however they’d like, and those who share a photo are entered in a raffle to win points.

    Results

    Keyfactor has further enhanced its recognition, gifting, and swag initiatives by leveraging Stadium to its full potential, an outcome we love to see! Employees all agree–through word of mouth, the feedback has been extremely positive, with plans to include Stadium in its annual engagement survey in the future.

    The biggest success has been discovering Stadium’s recognition capabilities, which include robust reward options. Megan shares, “This all-in-one platform has been huge and has taken recognition to the next level. In the past, feedback indicated employees weren’t feeling like they’d received adequate recognition for their work. Rewards and recognition were a strategic people priority for us this year, and Stadium has really helped us make meaningful progress.”

    Rewarding employees with the power to choose their gifts has made all the difference. “We love being able to offer versatility for our employees. In the past, we gave everyone the same jacket or Glass Award. A shop lets them pick what they would like on the platform, whether it’s a T-shirt, gift card, or experience. They love the choice.”

    Before Stadium, Keyfactor relied on a simple Teams channel to facilitate recognition, but with our programs, recognition has beaten records, with one month having 1,000 posts of praise.

    Additionally, minimizing manual work by automating HR processes has also made a profound impact. Megan notes, “Stadium has made our lives so much easier and has taken a lot of manual work off our plates that we were having to do in the past. What used to take half a day going back and forth now happens with just the click of a button.”

    Onwards & Upwards
